Editable administrative wording. Confirm that the text matches your workplace process. A stamp impression does not establish that a check, handover or approval has occurred.

Before you enter your wording: a checklist

Enter your exact name or business name, any required registration number and the complete wording. Use line breaks to show the layout, and specify any date or signature fields to leave blank.

Description

When to use this stamp

Use this layout at the point where a letter, form or printed request is assigned to another team. The important distinction is between receiving an item and completing its task. A routing stamp records who should handle the paperwork next; it does not confirm that the recipient has read it, approved it or met the requested deadline. Keep the original correspondence attached so instructions are not separated from their context.

Plan the handwritten fields

Put the responsible team or person on the first blank line. Use a reference that helps staff locate the matching file without permanently printing a customer name into the stamp. Write a specific action such as review, call back or file on the action line. The due-date and staff fields are completed for each item, rather than saved as one fixed date. Replace the heading or department wording if your incoming-mail procedure uses different language.

Choose the right workflow

Choose this routing layout when the next owner and action matter more than the time of receipt. A plain received stamp is better for a simple receipt mark. The Goods Received Check layout is intended for physical delivery quantities and exceptions, while Internal Circulation suits a document passing through several readers. These stamps record different stages; avoid using a routing instruction as proof that a delivery or review was completed.

Impression size and editing

The print area is 70 mm wide by 40 mm high, not the size of the casing. All wording and line breaks are editable in the existing StampOz editor. Choose Black, Blue or Red ink. Check the live overflow warnings and allow practical room for handwriting; the enlarged preview is not an actual-size paper sample. The underlying physical stamp and price follow the matching custom stamp size.

Questions about this layout

Can I preprint our department name?

Yes. Replace the team label or one blank with a fixed department name, keeping room for the staff member and action that change from item to item.

Does the stamp send a notification?

No. It is a physical stamp for paper records. Your team still needs to hand over the document or use its normal notification system.

Can I use a date of my choice?

Yes. This is a fixed-text stamp with a handwritten date space, not an adjustable date mechanism. Do not save a one-off date unless you want that same date printed on every impression.

Proof before production

Review every line, blank space and ink choice in your saved design. Production starts only after approval of the specific final proof; ticking the product acknowledgement is not final artwork approval. Read the proof process and delivery information before ordering. Do not put private customer details into permanent wording intended for unrelated records.
