Description
Identify the item before the location
Start with the item or SKU reference used by your team, then complete the physical location fields. An aisle number alone may be ambiguous if the business has several buildings or stores, so replace an unused label with a site or room code when needed. Keep the impression on a stock card, paper label or other suitable paper surface. Make sure a reader can connect the location entry to the correct item without relying only on a product description that several items share.
Choose labels that match the room
Some stockrooms use bay and level rather than aisle and shelf. Every line is editable, allowing those labels to match the signage staff already see. Use one consistent naming convention and leave enough writing space for prefixes, separators and leading zeroes. A fixed warehouse name can be printed if it applies to every card. Avoid permanently printing a changing bin number into a general-purpose stamp, because an old impression can otherwise look current after goods have moved to a new position.
Keep relocation records understandable
When stock moves, follow your normal method for superseding the old paper entry and recording the new position. The updated-by and date fields help readers identify the particular location note; they do not provide an automatic change history. If an item occupies multiple bins, use separate entries or a location schedule rather than compressing several destinations into one line. Update the actual inventory or location register as required by your process. The physical impression cannot synchronise those records or prevent a picking error.
Do not confuse location with quantity
A location card tells a reader where to look, not how many units are available or whether an item has been checked. Choose Stocktake Count Record for a dated physical count and Goods Received Check for an incoming delivery inspection. This separation helps avoid treating an old location note as a current stock balance. Before approving the stamp proof, compare the blank lengths with a few fictional but realistically sized item codes and decide which labels are genuinely needed on the card.
Questions about this layout
Can I change shelf to bay?
Yes. All headings and labels are editable. Match the wording to your own stockroom signage and location convention.
Will it work as a barcode?
The supplied layout is text with handwritten spaces, not a generated or verified barcode. Keep machine-readable identifiers in your existing label system.
Can I stamp plastic bins directly?
Surface compatibility has not been established for this product. Use suitable paper records and ask before ordering for a different material.
Size, ink and approval
The impression is 70 mm wide by 40 mm high. Edit the wording and choose Black, Blue or Red in the live editor. Review the fit warning and approve the specific final artwork before production; the checkout acknowledgement is not final proof approval. See the matching custom stamp size and proof process.
