A useful stamp repeats the right information and leaves enough room for the parts you still complete by hand. Start with the task: identifying a professional, certifying a copy, recording an invoice check or routing office paperwork. Then choose the wording and impression size.
This guide connects common Australian work situations to editable StampOz templates. These are layout starting points, not confirmation that a stamp meets a particular legal, registration or workplace requirement. Check the wording with the organisation receiving the document before ordering.
Company, ABN and ACN stamp formats
For recurring business details, put the business or company name first. Add the identifier you actually use on the relevant paperwork, clearly labelled ABN or ACN. Include an address or contact detail only if the form needs it: extra lines make the stamp larger and leave less space around the text.
A plain business-details stamp and a common-seal-style layout serve different purposes. Do not treat a decorative border or the words “common seal” as a substitute for checking the required document-signing process.
- ABN Business Details Stamp — a 60 mm wide × 40 mm high starting point for business details.
- Company Name ACN Stamp — a company-name and ACN layout.
- Company and office collection — compare identification and everyday office wording.
JP, CDec and certified true copy stamps
First identify the document task. A certified copy, a witnessed signature and a statutory declaration are not interchangeable. Wording can depend on the document, receiving organisation and jurisdiction. Confirm the required statement and your authority to use it; buying a stamp does not confer that authority.
Keep fixed wording together, with clearly separated spaces for the name, qualification or registration details, date and signature when required. For multi-page documents, decide whether page numbering is needed and make room for it rather than squeezing it into the margin.
- JP Certified True Copy Stamp — an 80 × 30 mm landscape starting point.
- Statutory Declaration Witness Stamp — choose only after checking the actual declaration requirements.
- JP and CDec stamps and document certification stamps — compare tasks before choosing wording.
Solicitor and legal practitioner stamps
A compact name-and-title stamp helps repeat professional details. A certification or witness block needs additional wording and usable handwriting space. Choose the task-specific layout rather than trying to put every legal office function into one stamp.
For a longer name, try a wider format and review the whole line. Keep the signature area clear of fixed text. A signature label is a space to sign; it is not a reproduced signature or automatic approval.
- Solicitor Witness Signature Block — fixed labels with room to complete the document.
- Legal Practitioner Certified True Copy Stamp — compare the statement with the recipient’s requirements.
- Browse legal practitioner stamps for name, witness and office-use formats.
RPEQ, engineering and drawing-review stamps
Separate a professional identification stamp from a drawing-review status block. Name, professional designation and registration details identify the user; fields such as drawing number, revision, checked by and date record a particular review. A printed status is not evidence that a review has actually been completed.
- RPEQ Professional Engineer Stamp — a professional-details starting point.
- RPEQ Structural Engineer Stamp — compare the 70 × 40 mm layout for your wording.
- Engineering and construction stamps — professional identification and drawing workflow options.
Registered nurse, midwife and healthcare stamp layouts
Start with the professional’s full name and exact role. A short name-and-role block may fit a compact stamp; a long name, combined roles and several identifiers may need a wider or taller impression. The final choice depends on the actual text, not simply the profession.
Keep registration, provider and prescriber identifiers on separately labelled lines when they apply. Do not copy an identifier from a sample or assume that everyone in a profession needs the same fields. Include only the details issued to you and required for your work. Ask your workplace which details belong on its forms.
- Registered Nurse Name Stamp and Midwife Name Stamp — compact 50 × 25 mm starting points.
- Nurse Practitioner Details Stamp — a 60 × 40 mm starting point for a fuller details block.
- Healthcare professional stamps and Health and AHPRA stamp templates — compare role-specific layouts.
Invoice coding, payment and office workflow stamps
Choose a stamp that records one clear stage. “Received” means a document has arrived; coding assigns it to an internal account or job; approval records an authorised decision; “Paid” records payment after it has been checked. Using the same label for several stages can make a paper trail ambiguous.
- Invoice Coding Stamp — compare its labelled fields with the codes and references your accounts team uses. Leave enough handwriting space.
- Received Mail Routing Stamp — for date and internal routing notes.
- Goods Received Check Stamp — for a receiving check, distinct from invoice approval.
- Paid Office Stamp — a compact payment-status label; it does not itself verify payment.
- Accounting and tax stamps — professional details and accounts-workflow formats.
Teacher feedback and personal library stamps
For classroom feedback, book ownership or a short teacher message, use the teacher and library stamp guide. Compare writable feedback fields with a compact book stamp, including optional original patterns, and check the space and paper before choosing.
Choose the impression size, then check the proof
Dimensions describe the impression, not the plastic body. StampOz product names commonly list height × width; the editor labels width and height. For example, a “40mm × 60mm” product gives a 60 mm wide × 40 mm high landscape area.
Use the custom stamp size guide to compare seven sizes and measure the space on your actual form. A larger mobile preview does not make the physical stamp larger.
- Type your real wording and check every name, number and label.
- Check both edges of the layout, line breaks, borders and blank fields.
- Make sure a date, amount or signature can actually be written in the intended space.
- Check the chosen ink colour and impression dimensions.
- Review and approve the final proof before production; request changes if anything is unclear.
Start in the online stamp maker, read how proof approval works, or ask StampOz about your layout. For timing, see production turnaround and Australian delivery information.
