Identify the outstanding part of an order
Use the stamp on a backorder sheet or working purchase-order copy. Record the order reference together with the specific item or line where necessary, then enter the quantity that remains outstanding at the time of the note. Do not substitute the original order quantity when part has already arrived. If several lines have different dates or quantities, keep separate entries or an attached schedule so the reader can distinguish each open item. The printed heading cannot calculate what is still owed.
Record the source and timing of updates
The supplier-update field is a short note space, not an automatically refreshed delivery status. Include a date or a reference to the supplier message in your normal record when that context is needed. An estimated dispatch date and a confirmed receipt are different facts. Avoid permanently printing a promise such as delivery tomorrow into a reusable stamp. When the update is too long for the space, write a correspondence reference and keep the original message available to the person following up.
Assign the next review without closing the line
The next-review and by fields help identify when a staff member should check the open item again. They do not schedule a reminder, notify the supplier or reserve inventory. Review the outstanding quantity after each relevant receipt and follow your own process for closing or changing the backorder record. If the order is cancelled or substituted, record that decision in the source system rather than simply treating the stamped note as settled. Keep a clear link between the paper entry and the actual order.
Choose the right stage-specific stamp
Backorder Follow-up concerns supply that is still outstanding. Goods Received Check is intended for goods that have actually arrived, while Purchase Order Matching connects the resulting delivery and invoice paperwork. These layouts can support successive steps without asserting that a future step is complete. Adapt the labels to the terms your purchasing team uses and keep long supplier explanations outside the impression. Before approving the artwork, check a realistic fictional order reference, the quantity unit and the space needed for the next responsible person's initials.
Questions about this layout
Is the supplier update a live tracking feed?
No. Staff write the information manually. The physical stamp has no connection to supplier or carrier systems.
Can I add an expected date field?
Yes. Label it clearly as expected if it is an estimate and update the actual order record when the information changes.
Will it send a follow-up reminder?
No. Use your existing reminder or purchasing system. The review space is a visible prompt on the paper record.
Size, ink and approval
The impression is 90 mm wide by 40 mm high. Edit the wording and choose Black, Blue or Red in the live editor. Review the fit warning and approve the specific final artwork before production; the checkout acknowledgement is not final proof approval. See the matching custom stamp size and proof process.
