描述
Link the adjustment to its source
Place the impression on your working copy or a separate cover sheet without obscuring the supplier's original wording. Enter the credit note identifier exactly as it appears on that document, then identify the invoice it relates to. This makes the connection visible to someone reviewing the file later. Where one credit refers to several invoices, use an attached schedule and record its reference rather than forcing a long list into the limited writing space. Keep the original documents together in your normal records system.
Use posting reference only after posting
The posting-reference field is intended for the identifier generated by your own recording process. Leave it blank until the entry has actually been made and checked by the appropriate person. Do not treat a stamped heading as confirmation that a credit has been applied. If your team records receipt before posting, change the label to received reference or use a separate stage-specific mark. The design is editable so the sequence on paper can match the work your team really performs.
Avoid confusing a credit with a refund
A credit document, an allocation against an invoice and a cash refund can be different events. The sample deliberately avoids a fixed refunded or paid declaration. Any amount, outcome or payment reference should be recorded only after the relevant action and supporting evidence exist. This stamp does not decide the accounting treatment or verify a supplier balance. Ask the person responsible for your accounts process which references should appear before finalising the layout, especially if several staff handle different stages of an adjustment.
Choose a practical record layout
Keep changing transaction numbers handwritten. A permanent department name can be added if all impressions belong to one accounts team, but a real customer's details do not belong in a reusable public example. Test the label lengths with your typical identifiers and remove unused fields to provide more room. For coding an ordinary invoice, choose Invoice Coding; for comparing an order against delivery paperwork, choose Purchase Order Matching. Each layout names a distinct task so paper files do not rely on an ambiguous generic checked mark.
Questions about this layout
Does buying this stamp create credit notes?
No. It is a custom physical stamp for recording references on paper, not invoicing or refund software.
Can it say credit applied?
You can edit the wording, but use a completed-action declaration only when it accurately describes the step being recorded.
Can I record several invoices?
Use an attached schedule for multiple references and note that schedule in the available space. Keep the final impression readable.
Size, ink and approval
The impression is 70 mm wide by 40 mm high. Edit the wording and choose Black, Blue or Red in the live editor. Review the fit warning and approve the specific final artwork before production; the checkout acknowledgement is not final proof approval. See the matching custom stamp size and proof process.
