Keep a factual internal contact note
Use the stamp on the internal record where your team tracks invoice enquiries. Identify the invoice and write when and how contact occurred, such as an email or telephone call. The record should describe what actually happened rather than assume the recipient has read a message. If no response has been received, note that fact using your normal procedure. Do not use a preprinted impression to imply that a payment promise, dispute resolution or other conversation took place when it did not.
Separate response from next action
The response line is for a short factual summary or a reference to a longer note. The next-action line states what your team plans to do, with a due space for the follow-up date. A promised action and a completed action are different; keep them clearly labelled. Detailed correspondence should remain in the original message or contact system. The stamp provides a repeatable prompt on paper but cannot send an email, calculate a deadline or schedule a staff reminder on its own.
Use wording appropriate to the audience
The starting layout is for internal administration. It deliberately avoids threats, collection charges and declarations about a person's credit status. If you intend to stamp a document being sent outside the business, review both the actual message and the information it reveals before using it. A short paper note can easily lose its surrounding context. Keep private contact details and changing invoice information out of the permanent stamp artwork, and follow your organisation's rules for handling the completed record.
Make handovers easier to follow
Before ordering, ask whether the team needs an owner or initials field more than a response space. All labels can be changed, and a permanent accounts-department name can replace an unused line. Retain enough handwriting room for the action to be understood by someone other than the original caller. This layout differs from a Paid stamp because it records follow-up activity without asserting settlement. Check payment status through the actual accounts record; a contact note alone does not confirm that funds have arrived.
Questions about this layout
Will it email payment reminders?
No. It is a physical paper-record stamp. Messages and reminders still need to be handled through your own systems.
Can I add a staff initials line?
Yes. Replace a label or shorten another field in the editor, then confirm the space and lettering in the proof.
Is this a formal payment demand?
No. The supplied wording is an internal follow-up record and does not set payment terms, fees or collection conditions.
Size, ink and approval
The impression is 90 mm wide by 40 mm high. Edit the wording and choose Black, Blue or Red in the live editor. Review the fit warning and approve the specific final artwork before production; the checkout acknowledgement is not final proof approval. See the matching custom stamp size and proof process.
